UJEB Fee Policy
Our Commitment
UJEB is committed to building Jewish identity by providing engaging educational experiences for young Jewish people attending non-Jewish schools. UJEB provides a sense of community and belonging through creativity and learning, and by attending our programs, our students develop a lifetime of knowledge and skills in an active and dynamic educational environment that ensures their ability to participate in Jewish communal life
Policy Principals
UJEB, as a not-for profit organisation, aims to ensure that wherever possible, program fees cover the cost of program delivery.
UJEBs Fees are determined based on several considerations including:
- Ensuring it can deliver quality programs
- Including contributing to costs of administering the program
- Ensuring that UJEB can remain a going concern
- Taking into consideration philanthropic, government funding and donations received to offset program costs
This policy applies in respect of fees that UJEB charges for its programs. Please note the separate subsection referring to UJEB termly programs, camp and B’nei Mitzvah program (Bar Mitzvah and Bat Mitzvah)

Enrollment and Billing
When a student is enrolled in one of UJEB’s programs via UJEB’s website / iClassPro, the parent/guardian will be required to make payment of the applicable fees. The online enrollment application will not be accepted or processed until payment has been made. Enrollment in a program is conditional upon payment of the applicable program fee.
UJEB requires each family to store payment information (credit card details or direct debit authority) when enrolling into a program. UJEB will charge fees per payment method according to the Appendix – Billing Authorization. Direct Debits will not incur fees.
If a student’s fee is unpaid, that student will not be permitted to attend unless that family has submitted a request for fee assistance and is awaiting a decision.
Enrolling and Billing – Termly Programs
Enrolment in a UJEB program rolls forward each term, until the student is withdrawn. After enrolling a child, the stored payment method for that charge will be charged the last day of the prior term. Students must be withdrawn up to a day before statements are issued (1 week before UJEB term ends) to avoid a $25 administration fee per family.
Billing schedule Term 2-4:
- Billing notification – 3 weeks prior to the end of the term (including the withdrawal deadline date; the day before statements are sent out).
- Statement sent – 1 weeks prior to direct debit.end of term.
- Direct debiting – last day of term.
Billing schedule Term 1:
- Billing notification – 2 weeks prior to the end of the school term (including the withdrawal deadline date; the day before statements are sent out).
- Statement sent – Last day of school term.
- Reminder statement sent – 1 week prior to direct debit.
- Direct debiting – 2 weeks prior to the start of the UJEB term.
Late pick-up fees
If a parent is more than 15 min late for picking up a student the family will be charged $35 for the teacher’s time to supervise the student.
Trial classes
For some UJEB programs, a trial of 1 week is possible prior to enrolling for the first time. Families wishing to trial a program will be required to enrol their child in the program via UJEB’s website / iClassPro and the parent/guardian can choose the trial option. The parent/guardian will be notified of the date of the trial class/es and the child can attend without a commitment to paying the term fee. This class will form part of the term fees.
If the parent/guardian does not wish the child to enrol and continue with the program, no fee will be charged for the trial class.
If the parent/guardian wishes the child to continue with the program they will need to enrol and make payment. The date of term enrolment will be determined by the date of the trial (refer to: Student Enrolling After Term Commencement) The child will not be able to attend UJEB’s program until the child is enrolled.
In the case of a child for whom an application has been submitted for fee assistance for UJEB’s consideration, the parent/guardian may enrol the child in an additional trial class while the fee assistance is being determined.
Students Enrolling After Term Commencement
UJEB fees are calculated on an annual basis and charged as 4 even payments across each term. UJEB understands that the number of classes each term can vary. As such students enrolling during the term are entitled to a reduction of that term’s fees as per the schedule below, which is applied by the office when finalising enrollment via UJEB’s website / iClassPro.
- No reduction – Enrolling in the first 2 weeks of term.
- 30% reduction – Enrolling in weeks 3,4 or 5 of term.
- 50% reduction – Enrolling in weeks 6,7 or 8 of term.
- 80% reduction – Enrolling in weeks 9,10 or 11 of term.
Financial Assistance
In the event that financial assistance is needed in order to pay the applicable program fee, families are encouraged to apply for fee assistance in accordance with UJEB’s Fee Assistance Policy.
All amounts that are owed to UJEB in respect of a student will remain due and payable until UJEB approves an application for fee assistance in respect of that student. It is the responsibility of the student’s parent or guardian to apply for financial assistance.
UJEB Non-Teaching Days
UJEB does not run programs on Jewish holidays, Erev Chag (the afternoon before a Jewish holiday), public holidays, school curriculum days and school student-free days. The UJEB fees are determined on an annual basis and then separated into 4 quarterly payments, payable each term. There are no refunds available for classes that are missed as a result of these events.
Class Cancellation
UJEB will work hard to ensure that classes aren’t cancelled. However, in the circumstance where UJEB needs to cancel a class (excluding UJEB Non-Teaching Days), UJEB will provide a credit of $15 per student to the family for classes cancelled.
Withdrawing a Student
A parent/guardian who wishes to withdraw their child from a UJEB program must do so through the iclassPro portal or notify UJEB by email of such intention.
If, in accordance with UJEB’s Student Behaviour Policy, UJEB requires a student to cease their participation in a UJEB program on account of their behaviour, UJEB will not refund program fees paid.
UJEB retains the discretion to alter the terms of this policy in respect of individual circumstances that are exceptional.
Withdrawing a Student – Termly programs
Timeline for withdrawing a student:
- 3 Weeks prior to term end – iClassPro email to all active families informing withdrawal deadline
- 3 Days before statements – iClassPro email to all active families reminding them of the withdrawal deadline (no fees)
- 1 Day before statements – Last date to withdraw from class without incurring late withdrawal fee.
- 1 Week before direct debiting – Statement sent to all active families
- Any withdrawals from this date until but not including the first week of classes incur a $25 late withdrawal fee
- The $25 late withdrawal fee won’t apply if the family has a child enrolled in another UJEB term program in that term.
- Last day of term – direct debit all active families for the following term. All withdrawals are deemed late withdrawals.
- After the term commencement date, the following refunds are available:
- Week 1: $50 late withdrawal fee
- Week 2 – 5: 50% refund on term fees
- Week 6+: 0% refund on term fees
Suspension of Enrolment – Termly programs
If a parent/guardian notifies UJEB, at least 1 day before the commencement of the term, that the student will be away for 4 or more weeks in the term, a 30% reduction on fees for the term can be requested by email. There is no available reduction in fees for a suspension of less than 4 weeks. The 30% reduction is the maximum reduction available.
Withdrawing a student from a B’nei Mitzvah program (Bar Mitzvah and Bat Mitzvah)
Timeline for withdrawing a student from the B’nei Mitzvah programs:
- All withdrawals up to week 2 of the program start date will forfeit the $100 non-refundable portion of the enrolment fee.
- From week 2 of the program commencement date to 50% of the program completion a 50% refund is available for withdrawals.
- Post 50% of the program commencement no refund is available.
Timeline for withdrawing a student from the Bat Mitzvah ceremony
- Up to 1 month prior to the ceremony, the fees for the ceremony are fully refundable
- Between 1 month and 2 weeks of the ceremony, the $85 is automatically refundable. Any additional amount will be at UJEB’s discretion.
- Within 2 weeks of the ceremony, no refund for ceremony-related fees is available.
The Bat Mitzvah and Bar Mitzvah programs are based on a fixed cost for the whole program. Any missed classes in either program, for any duration, will not affect the cost of the program, irrespective of the number of classes missed.
UJEB Camp
When a student is enrolled in a UJEB camp via UJEB’s website / iClassPro, the parent/guardian will be required to make payment of the applicable fees. The online enrolment application will not be accepted or processed until payment has been made. Enrolment in a UJEB camp is conditional upon payment of the applicable camp fee.
Enrolling in a UJEB camp is applicable for that specific camp only.
UJEB requires each family to store payment information (credit card details or direct debit authority) when enrolling into a program/camp. Camp payments will be processed at time of camp enrolment.
UJEB will charge fees per payment method according to the Billing Authorisation appendix. Direct Debits will not incur fees.
If a student’s camp enrolment fee is unpaid, that student will not be permitted to attend the program.
In the event that financial assistance is needed in order to pay the applicable camp fee, families and parents are encouraged to apply for fee assistance in accordance with UJEB’s Fee Assistance Policy.
All amounts owed to UJEB in respect of a student will remain due and payable until UJEB approves an application for fee assistance in respect of that student. It is the responsibility of the student’s parent or guardian to apply for financial assistance.
Withdrawing a student from a UJEB camp
A parent/guardian who wishes to withdraw their child from a UJEB camp must do it through the iclassPro portal or notify UJEB by email of such intention.
If a parent/guardian withdraws a student from a UJEB camp up to 30 days prior to the camp start date, UJEB will issue a 100% refund less a $25 administration fee per family.
The above administration fee per family will be waived if the family has a student enrolled in a UJEB term program.
If a parent/guardian withdraws a student from a UJEB camp 30 – 7 days prior to the camp start date, UJEB will issue a 90% refund.
If a parent/guardian withdraws a student from a UJEB camp 1-6 days prior to the camp start date, UJEB will issue a 75% refund.
If a parent/guardian withdraws a student from a UJEB camp once camp has commenced (including the first day of the camp), there will be no refund issued.
If, in accordance with UJEB’s Student Behaviour Policy, UJEB requires a student to cease their participation in a UJEB camp on account of their behaviour, UJEB will not refund program fees paid.
UJEB retains the discretion to alter the terms of this policy in respect of individual circumstances that are exceptional eg illness etc.
Cancellation of UJEB camp
If the Camp is cancelled due to unforeseen circumstances, beyond UJEB’s control, within 30 days of the camp start date, UJEB reserves the right to retain a $50 administration fee to cover the non-recoverable costs incurred, with the remained of the amount paid to be refunded
If the Camp is cancelled due to unforeseen circumstances, once the camp has started, there will be no refund.
